BANK LOAN ASSISTANT POSITION SUMMARY

This position is responsible for assisting the banks’ lending and operations areas, and their customers, based on a thorough understanding of Commercial and Agricultural loans. The Loan Assistant is responsible for assisting Loan Officers with loan workflow management, ensuring timelines are met and adjusted appropriately. They assist and coordinate with internal and external parties involved in the loan process to gather information and ensure all pre-close steps and documents have been obtained and completed.

BANK LOAN ASSISTANT ESSENTIAL DUTIES AND ACCOUNTABILITIES

1. Provides customer service to all internal and external customers.
2. Handle communication by phone, email and in person with employees, loan customers, businesses and vendors related to the loan process.
3. Review, articulate and understand multiple variables to request proper loan documentation.
4. Maintains physical and electronic customer files.
5. Functions as a point of contact for other internal departments during loan process.
6. Is a system expert and point of contact for the bank’s workflow management system and is able to understand and navigate the bank’s core system.
7. Responsible for identifying and communicating workflow system inefficiencies or opportunities for improvement.
8. Enters customer information into the bank’s loan workflow system with specific attention to data integrity.
9. Review loan approvals and address all conditions for closing.
10. Maintain loan file compliance while managing own pipeline during various levels of volume.
11. Responsible for loan level tasks including but not limited to: Lien searches, title opinions, title commitments and policies, pulling credit bureaus, ordering flood determinations, verifying taxes are current, pulling UCC searches, verifying Secretary of State website and Requests and obtaining evidence of appropriate insurance coverage for each loan according to established procedure/policy.
12. Reviews closed loan package to ensure all documentation is collected and executed. Checking documentation for proper vesting, legal descriptions, payment information rate accuracy etc.
13. Review daily reports and work with those necessary to resolve issues or concerns.
14. Verify and mail loan notices.
15. Monitors missing and expired loan documentation in imaging software and reports findings to the appropriate loan officer(s). Assists in clearing items.
16. Monitors missing and recurring documentation in document imaging system and reports back to loan officer(s). Assists in clearing items.
17. Updates financial ticklers and uploads documentation to proper tracking system.
18. Attend weekly market loan meetings.
19. Provides backup support for other loan assistants during time off and other high-volume periods.
20. Tracks and submits third party invoices and payment for fees incurred during the loan process.
21. Collaborates with and provides guidance and training to other loan assistants in support of the manager.
22. Performs a variety of clerical duties requiring knowledge of departmental procedures.
23. Other duties as assigned.

BANK LOAN ASSISTANT QUALIFICATIONS:

Education

• High school diploma or equivalent required

Experience

• 1-3 years in a banking or lending environment preferred

Other Skills and Abilities

• Working knowledge of loan policies, procedures, and bank products
• Exceptional oral, written, and interpersonal communication skills
• Proficiency with Microsoft Office products (Word, Outlook and Excel)
• Apply common sense to carry out instructions and instruct others, interpret documents, understand procedures, write reports and correspondence, speak clearly to customers and employees.
• Exceptional organizational and time management skills; ability to function well in a fast-paced environment
• Strong attention to detail
• Ability to interact with internal and external teams, customers and businesses with tact, diplomacy, and confidentiality
• Knowledge of lending and imaging software with the ability to do updates and troubleshoot programs
• Strong math skills; add, subtract, multiply and divide in all units of measure
• Be able to work flexible hours and shifts
