Office Manager/Executive Assistant

Who We Need :We’re looking for an enthusiastic, proactive team player who excels in a fast-moving workplace. The right person will be eager to grow, highly organized, and energized by supporting others while tackling diverse responsibilities. 

Core Duties:

  • Deliver full administrative support to the COO and President by overseeing schedules arranging meetings, coordinating conference calls, and preparing for board gatherings.
  • Handle expense report preparation and submission for the COO and President.
  • Plan and manage detailed travel arrangements for domestic and international trips, including flights and logistics.
  • Coordinate conference room bookings and meeting schedules.
  • Manage all Human Resources tasks, such as onboarding and offboarding employees, administering healthcare benefits, overseeing HSA and 401k enrollments, ensuring compliance with state training requirements, and maintaining both digital and physical employee records.
  • Monitor employee vacation time and Connecticut Family Medical Leave usage.
  • Keep the employee handbook, policies, and compliance standards current.
  • Oversee corporate insurance policies, including annual renewals and audits, as well as workers’ compensation processes.
  • Compile quarterly and annual census data.
  • Take charge of office operations, including ordering supplies and managing kitchen stock, liaising with IT and Telecom providers, and updating Outlook with annual holidays.
  • Build and track a yearly budget covering office supplies, staff appreciation (birthdays, anniversaries, lunches, and biannual events), shipping costs, shredding services, and equipment leases.
  • Support the executive team by streamlining staff reporting processes.

What You Bring:

  • A Bachelor’s degree in Business, Management, Communications, or a similar discipline.
  • 3-5 years of executive administrative experience in a dynamic, entrepreneurial setting.
  • 3-5 years managing HR and employee benefits for a private organization.
  • Outstanding ability to juggle multiple tasks with top-notch organization.
  • Clear, effective communication and strong people skills.
  • Sharp analytical thinking and a knack for solving problems.
  • Confidence working solo and partnering with diverse teams (e.g)
